How to automatically populate a Kofax Front Office Server (KFS) 4.1 Index Field with the value from a Device Profile Custom Metadata field

Answer / Solution:

KFS Device Profiles can be used by the KFS Administrator to define particular groups of MFP devices that share settings or Global Shortcuts. With the introduction of Custom Metadata fields, the KFS Administrator use Device Profiles to define groups of MFP devices that share common field data (for example, MFP devices located at a particular branch location). These Custom Metadata field values can be populated into KFS Index Fields using Custom Metadata field macros.

To automatically populate an Index Field in a KFS Shortcut with the value from a Custom Metadata field using a Custom Metadata field macro:

  1. Log in to the Kofax Front Office Server Administration Console.
  2. Select Device Profiles.
  3. Select the desired Device Profile and click Edit.
  4. Select the Custom Metadata Fields tab and click Create.
  5. Enter the desired field name and the value that applies to the selected Device Profile. (Example: Field Name = Location, Value = New York)
  6. Click OK.
  7. Click Save.
  8. Selected another Device Profile and click Edit.
  9. Select the Custom Metadata Fields tab and click Create.
  10. Enter the same field name and the value that applies to the selected Device Profile. (Example: Field Name = Location, Value =Chicago)
  11. Click OK.
  12. Click Save.
  13. Repeat for each Device Profile.
  14. Select Shortcuts.
  15. Select the desired Shortcut and click Edit.
  16. In the field where the Custom Metadata value will be populated, enter the following default value macro, where Field_Name is the name of the Custom Metadata field:
    • {DeviceProfile:Field_Name}
  17. Click Save.
