What are the four Shortcut classes in Kofax Front Office Server (KFS) and how can they be used to control user access to the Shortcuts in the Kofax MFP Clients?
The four Shortcut classes in Kofax Front Office Server (KFS) 4.x are:
- Global Shortcuts
Global Shortcuts provide anonymous access to all users of a particular MFP device or set of MFP devices.
The KFS Administrator creates a Global Shortcut in the KFS Administration Console by creating a Shortcut and associating it with a Device Profile. Global Shortcuts appear in the main menu of the Kofax MFP Client on those MFP devices that are associated with the Device Profile, regardless of whether the user has logged into KFS. If a user submits a job using a Global Shortcut without first logging into the Kofax MFP Client, the job is automatically assigned to the built-in Administrator account.
- Group Shortcuts
Group Shortcuts can only be accessed by logged-in users of a particular group.
The KFS Administrator creates a Group Shortcut in the KFS Administration Console by creating a Shortcut and associating it with one or more Kofax Capture User Groups or linked Active Directory Groups. Once the user has logged into the Kofax MFP Client, the Group Shortcuts for which they have access will display in the client's main menu screen.
- Direct Shortcuts
A Direct Shortcut is a Global Shortcut that opens automatically when the Kofax MFP Client is opened.
The KFS Administrator creates a Direct Shortcut in the KFS Administration Console by associating only one Shortcut with a Device Profile and disabling the Logon button in the Device Profile. Since logging into the Client is not possible with this configuration, all jobs submitted using a Direct Shortcut will automatically be assigned to the built-in Administrator account.
- Personal Shortcuts
Personal Shortcuts allow the user to pre-populate index fields with values that apply to that user and will not change. For example, if a Shortcut has a field where the user must enter their Employee ID number, the user can create a Personal Shortcut that automatically populates that field with their Employee ID number so they don't have to enter it every time they submit a new job.
Each user can create their own Personal Shortcuts in the KFS Thin Client by hovering their mouse over a Shortcut and clicking Create Personal Shortcut. The user must enter a unique name for their Personal Shortcut. They can then enter the default value for each index field that applies, and click Save. Personal Shortcuts are only displayed in the Kofax MFP Client after the user that created the Personal Shortcut has logged into the Kofax MFP Client.
