How to use the Check PaperPort Folders utility.


If PaperPort is not able to launch or if the application freezes when switching to a different folder in the Folder Pane, there may be files in the PaperPort folders that are causing the problem.

A utility has been created to help the user identify the items in their PaperPort folder structure whose access can make the PaperPort application unstable, and to remove all cached PaperPort indexing and visualization data files. Using this utility makes it easy to identify those items that need to be moved out of the PaperPort folders.

The utility is called "CheckPPFolders.exe" and by default is found in the following location:

C:\Program Files (x86)\Kofax\PaperPort\CheckPPFolders.exe

Note: This utility is only available in PaperPort 11.2 and later versions of PaperPort. Earlier versions of PaperPort will not have this utility included in the installation folder.

To use the Check PaperPort Folders utility and scan the PaperPort folders for potential problem files:

  1. Make sure PaperPort is closed, then launch the utility by navigating to "C:\Program Files (x86)\Kofax\PaperPort\" and double-clicking the "CheckPPFolders.exe" file.
  2. To start analyzing the PaperPort folders for problem files, select the "Search my PaperPort folders for problem files that can be responsible for hangs or crashes" option and click "OK".
    • Note: It is highly recommended that all other applications on the computer are closed before running this utility. This will free up resources on the computer to allow the utility to run faster.
  3. This opens the "PaperPort Folder Content Analyzer" dialog box. Start the analysis by clicking the "Start" button.
  4. Once the processing has completed, the user can click the "Save Logナ" button to export the processing log contents into an XML document for analysis.
    • Note: Analyzing the processing result can be difficult if there are many PaperPort items in PaperPort Folders. Checking the "Show only processing failures" option will hide every item that has successfully passed verification, so only the problematic items will be visible in the processing log.

After using the Check PaperPort Folders utility, the user can collect the detected problem files. Once the analysis is complete, click the "Collect Filesナ" button to open the "Collect Files" dialog box.

Notes about Collecting Files:

  • The Collect Files dialog displays the list of crashed or hung files. By default, it selects every problem file. The user can override this recommendation by un-checking one or more of the selected items.
  • The user can also override the default location where the collected files will be moved to. The selected folder MUST be outside of the PaperPort Desktop folder structure.
  • When ready to start the collection, click the "Collect Filesナ" button. The user can cancel the operation at any time by clicking the "Cancel" button.
  • On completion, every selected file is moved to the specified destination folder. In the same folder, a summary document is created as well.
  • A batch file is also created which can be used to move every collected file back to their original location in a single step. To prevent an accidental launch of this batch file, its extension is constructed as ".cmd_". In order to launch the file, rename the file extension to ".cmd".

To use the Check PaperPort Folders utility and remove PaperPort metadata files:

  1. Make sure PaperPort is closed, then launch the utility by navigating to "C:\Program Files (x86)\Kofax\PaperPort\" and double-clicking the "CheckPPFolders.exe" file.
  2. To start analyzing the PaperPort metadata files, select the "Remove PaperPort meta-data files from my PaperPort folders (Thumbnail cache files, search and indexing databases)" option and click "OK".
  3. This opens the "PaperPort Meta-Data Cleaner" dialog box. Start the analysis by selecting all of the checkboxes listed, then clicking the "Analyze" button. Note - deleting the Desktop Thumbnail Placement Cache files (MaxDesk.ini, MaxDesk.ini2) will clear out any folder colors.  Uncheck this box if the client uses colors to identify folder. 
  4. Once the Meta-Data Content has been detected, select the items to remove under "Clean the Discovered Meta-Data Content" and uncheck the items to keep.
  5. Click the "Clean" button.
  6. Click "OK" when prompted. Optionally, click the "Save Log" button to save and display the operation summary log.
  7. Click "Close" to close the "PaperPort Meta-Data Cleaner" dialog box.
  8. Launch PaperPort.
