Preserving annotations when converting an MS Word document to PDF
Problem:
When converting an MS Word document to PDF via the Nuance Ribbon buttons, annotations (comments, tracked changes, etc) are not preserved once the document has been converted.
Resolution:
This is by design - the only way to preserve the annotations is by printing the Word document to a PDF with the markups visible in Word.
In order for annotations to be preserved and viewable after a document has been converted from MS Word format to PDF, the following must be performed:
- In the MS Word document, make sure the annotations are visible - if they are not, On the Review tab, enable Show Markup
- Click File > Print
- From the Printer drop-down box, select ScanSoft PDF Create! or Gaaiho PDF or Nuance PDF.
- Click Print
- In the Save As window, designate a location to which the file will be saved and enter a name for the file
- Click Save and the resulting PDF will include the annotations.
